- User Content: We collect all the inputs, requests, and messages you submit when using our Service. This includes practice planning inputs, communication templates, fundraising ideas, travel planning requests, and all messages sent through our general chat feature.
Information We Automatically Collect:
- Usage Data: We track your interactions with the Service, including usage patterns, feature interactions, session data, and performance metrics.
- Generated Content: We store the AI-generated responses, practice plans, and other outputs created through our tools as part of your account history.
- Technical Information: We collect device and browser information, IP address, approximate location data derived from your IP address, session identifiers, timestamps, and error logs.
2. How We Use Your Information

- To Provide and Maintain the Service: To deliver our AI-powered coaching tools, manage your account, authenticate you as a user, and provide customer support.

We may use anonymized and aggregated User Content to train our AI models and improve the underlying technology.

4. Third-Party AI Services (Gemini and OpenAI)
Our Service relies on third-party Artificial Intelligence platforms, such as Google Gemini and OpenAI, to generate content. To do this, your prompts, inputs, and conversations ("User Content") are sent to these partners for processing. Please be aware of the following:
- Your User Content is governed by the privacy policies of these third-party services. We encourage you to review them:
- These providers may use User Content submitted through their services for their own purposes, including for model training, in accordance with their terms and policies.
- We are not responsible for the data handling practices of these third-party AI providers. The explicit warnings in Section 5 regarding sensitive information apply directly to any data you submit that will be processed by these services.
5. User Responsibility and Student Data (FERPA)

Our Service is intended for professional use by coaches and athletic directors. You are solely responsible for complying with all applicable privacy laws, including the Family Educational Rights and Privacy Act (FERPA).
You agree not to submit any data that could be considered a protected "education record" or personally identifiable information (PII) about students. This includes, but is not limited to:
- Student names, addresses, or other direct contact information
- Student ID numbers or social security numbers
- Grades, disciplinary records, or detailed performance evaluations tied to a specific student
- Health or medical information
All chat messages and tool inputs are stored and may be transmitted to our AI partners. We do not automatically redact or filter sensitive information. You are responsible for the content you submit. Violation of this policy may result in account termination.
6. Data Security and Retention
Security Measures: We implement commercially reasonable security practices to protect your information, including data encryption in transit (HTTPS), secure authentication protocols, and access controls. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
Data Retention: We retain your information for as long as necessary to provide the Service and fulfill the purposes outlined in this policy. The retention periods are as follows:
- Account and Profile Data: Retained for as long as your account is active. Upon account deletion, this data will be permanently deleted within 30 days.
- User Content (Chat Messages & Tool Inputs): Stored for as long as your account is active to provide you with your history. Upon account deletion, this data is also deleted within 30 days.
- Analytics Data: Anonymized or aggregated usage data may be retained indefinitely for service improvement and statistical analysis.
7. Your Rights and Choices
You have certain rights regarding the personal information we hold about you.
- Access and Update: You can access and update your profile information at any time through your account settings.
- Account Deletion: You may request to delete your account by contacting us. Deletion will remove your personal information and user content from our production systems in accordance with our retention policy.
- Communications Opt-out: You can unsubscribe from our promotional or marketing emails by following the instructions in those emails. You may still receive essential service-related and transactional communications.
- Data Portability: You may be able to request a copy of your personal information in a machine-readable format.
